Privacy Policy

The short version

We collect only what you send us: your contact details and the files you upload.
We use it to reply to you, process your scans and run our work together.
Your clients' scans are treated as confidential and are not shown publicly without your permission.
We do not sell personal information.
You can ask us to see, correct or delete your data.

01Who we are

Individual Entrepreneur Vitalii Volodymyrovych Kyrylko (FOP), registered in Ukraine ("we", "us"), operates 3D Scan Guild and provides 3D scan post-processing for body scanning studios, scanner manufacturers and 3D print services. We are based in Vinnytsia, Ukraine. For any privacy question, write to hello@3dscanguild.com.

02What we collect

Data	Where it comes from
Contact details	The free test form, the question form and our emails: name, work email, country, the type of business you run, and the links to files you share.
Your messages	Anything you write in the form, by email or in chat.
Scan files	Photo sets, raw meshes and links to files you send us for processing. They usually show your customers (see section 04).
Billing details	Invoicing name, address and payment records, once we work together. Card data is handled by the payment provider, not stored by us.
Technical data	Standard server logs kept by our hosting provider (IP address, browser, pages visited, time), used for security. We do not use advertising or tracking cookies.

03How we use it

To reply to your request and run the free test.
To process your scans and deliver print-ready files.
To set up your account preferences (printer, formats, sizes) and keep in touch about orders.
To send invoices and keep the accounting records the law requires.
To keep the site and our file transfers secure, and to improve our services.
To comply with the law and protect our rights.

We do not sell personal information.

04Your clients' scans

Scans you send us show real people, sometimes including children. We process them on your behalf to complete your orders.

Confidential. Every artist on our team signs an NDA. We do not show your scans in our portfolio or anywhere else without your written permission.
No sale. We do not sell scans.
Limited access. Access is limited to the team members who need it for your work.
Retention. We delete scan files 60 days after delivery. You can ask us to delete them sooner, or to keep them longer for reorders.

As the studio, you are responsible for having your customers' consent to be scanned and to have their scans processed by a contractor, and for any other permissions the law requires. For customers under 18, that consent must come from a parent or guardian.

With service providers that help us run the business, such as:

website hosting: Cloudflare
form handling and order management: Make and Asana
file storage and transfer: Dropbox
payments and accounting: Payoneer, Wise and our bank, depending on how you pay

We may also disclose information if the law requires it, to protect our rights, or as part of a merger, sale or transfer of our business.

06International transfers

Our team works from Ukraine, and our service providers may be located in other countries. By using our services, you understand that your data and files may be processed outside the United States.

07How long we keep it

We keep personal information only as long as we need it for the purposes above: while we work together, for as long as tax and accounting law requires, and longer if needed to resolve a dispute or protect our rights. Scan files are kept as set out in section 04.

08Security

We use reasonable technical and organizational measures to protect your data and files. If a breach affects your data, we will notify you as the law requires.

09Your rights

You can ask us to:

show you the personal information we hold about you;
correct it or delete it;
stop sending you messages you don't need.

Write to hello@3dscanguild.com. We will reply within the time the applicable law requires. We may need to verify your identity first, and we may keep some information where the law requires or allows it.

California residents. Where the California Consumer Privacy Act applies, you have the rights above. We do not sell your personal information.

EU and UK residents. We process your data to answer your request and perform our contract with you, to meet legal obligations, and for our legitimate interest in running our business. You may also object to processing, ask for a copy of your data, or complain to your local data protection authority.

10Children

This website is for businesses and is not directed at children. We do not knowingly collect personal information from children through it. Scans of children that studios send us are handled as described in section 04.

11Changes

We may update this policy from time to time. The current version is always on this page, with the date at the top.
